Privacy Policy — Mount Pleasant Constable LLC

Mount Pleasant Constable LLC (“we,” “us”) operates an internal SMS-based shift-coordination system for civilian chaperones who assist with constable patient-transport duties. This policy describes what data the system collects, how it is used, and how long it is kept. This system does not collect, store, or process protected health information (PHI); chaperones see only the scheduling fields they need to decide whether to accept a shift.

1. Information we collect

• Name of each chaperone we coordinate with.
• Mobile phone number. For storage outside the live roster, we keep only a keyed HMAC-SHA256 of the digits plus the last four digits; the HMAC key is stored in AWS Secrets Manager. The raw number is held in the live roster solely so we can dispatch messages, and is never shown in logs, analytics, or any downstream system.
• Per-date availability: whether the chaperone is available, any time windows they specify, and optional free-text notes they provide. Free-text notes are intended for scheduling context only (e.g., “available after 3pm”) and should not contain personal or sensitive information.
• Messaging metadata: time, direction, and status of each SMS we send or receive. Inbound message bodies are retained briefly for troubleshooting (see Section 3).
• Voice call metadata: for calls placed to our number, we log the call SID, time, duration, outcome, and the caller’s last four digits plus an HMAC of the caller’s number. We do not record call audio.

We do not collect location data, device identifiers, advertising IDs, or any browser fingerprinting. This site uses no third-party analytics, tag managers, or tracking scripts.

2. How we use it

We use the information solely to:

• Ask chaperones about their availability for specific dates.
• Offer transport assignments to chaperones whose declared availability matches the pickup time and place.
• Maintain an internal record of who was offered which assignment and how they responded.
• Route voice calls from known chaperones to the constable directly; calls from other numbers hear a brief message and are disconnected.

We do not sell, rent, or trade chaperone data. We do not share it with advertisers, data brokers, or other third parties, except where required by law or as necessary to deliver the messages themselves through our telephony provider (SignalWire). SignalWire acts as our processor for message and call delivery and is bound by its own terms not to use this data for any other purpose.

3. How long we keep it

• The chaperone roster (name, phone, opt-out state) is kept while the chaperone is actively coordinating with us. A chaperone may request deletion at any time (see Section 6).
• Per-date availability entries are automatically purged seven days after the listed date via DynamoDB time-to-live; no manual step is required.
• SignalWire webhook audit events (raw event receipts) are automatically purged after 90 days.
• Voice call log entries are automatically purged after 180 days.
• Inbound SMS message bodies are retained in CloudWatch logs for no more than 30 days and then automatically purged by the log retention policy.

4. SMS opt-out and help

Our SMS program is registered with mobile carriers under Mount Pleasant Constable LLC as an A2P 10DLC campaign. Up to five messages per day may be sent during active coordination. Standard message and data rates apply.

You may reply STOP (or STOP ALL, CANCEL, UNSUBSCRIBE, QUIT, or END) at any time to stop all future messages. We reply with a single confirmation and then send nothing further until you reply START. Opt-out and opt-in requests are processed immediately upon receipt. You may reply HELP at any time to receive our contact information.

5. Security

Data is stored in Amazon Web Services (AWS) in DynamoDB tables and S3 buckets, each encrypted at rest with AWS-managed keys (AES-256). Data in transit to and from this site is encrypted with TLS. Access to the underlying tables is gated by AWS Identity and Access Management with no public read. The HMAC key and SignalWire credentials are stored in AWS Secrets Manager and accessed only by the dispatch and verification code paths.

7. Changes to this policy

If this policy changes, we will update the effective date above. Material changes that affect how your information is used will be announced by SMS to currently-subscribed chaperones; minor edits (clarifications, typo fixes, or housekeeping) will be reflected in the updated effective date only.
